Re-keying a Commercial Property: Managing Employee Key Turnover

Every business that has staff has a key control problem, even if it is unwritten. Each key that leaves with an employee is a potential unauthorized entry. Here is a practical way to manage it.

Keep a key register

List every key: who has it, when it was issued and which doors it opens. A spreadsheet is enough. Number keys where you can.

Limit duplicates

Use restricted key blanks if you can, so keys cannot be copied at a kiosk. Never let employees make their own copies.

When someone leaves

Collect keys on the last day and tick them off the register. If a key is missing, or if the person left on bad terms, rekey the locks that key opened.

Reduce the number of keys

A master key system lets each person carry one key that opens only their doors. Or move to a card or code system, so access can be removed without touching a lock.

Set a review date

Once a year, check the register against who actually holds keys. Rekey doors where the count doesn’t match.

After a tenant change

If you manage a multi-tenant building, rekey a unit between tenants. It is the simplest way to make sure the previous tenant, cleaners and contractors have no access.

Cost vs risk

Rekeying costs little compared to a theft or a liability claim. Record the reason and date for each rekey.
